people reckon that ones personality matches the kind of car they drive. And if im not mistaken your after the run down look.
Porta dunny is a very good idea though!
So does the owner of the property have any issues with insurance, I thinking that if some one hurts themselves on his land would he be responsible? Sorry this my be a dumb question, but if so do we need to set up a declaration

he runs events etc and with the handing over of money he undertakes a dgree of responsibilty. That is also being looked at. Although I like to think that this won't be a problem but don't worry it will be looked at.
It will be self catering and no alcohol for drivers and passengers whilst driving, also no alcohol at lunch etc. Once you start drinking thats it you stop driving. After driving no worries but we want to keep this whole thing incident free and easy on evertone so there you go.

i have done this sort of thing before as one of the main guys for the Rhino trophy so organising a small gathering is nothing compared to organising an event with 120 people, feeding them, orgainising camping doing all the printed materials orgainisng and doing pre runs collating info, scoring the event, publicising etc

If this becomes a problem - perhaps another idea would be to drive trails in local parks (near whatever town we decide to meet up at)... We could then all just stay at a caravan park type place...
Advantages:
1. facilities (toilets, showers, cooking)
2. no insurance issues (because we are not using private land)...

Don't get to hung up on the insurance thing as I'd imagine that the property owner would undertake this if he is running events etc there. Also by not having a comp or any alcohol allowed during driving time makes it easier again. Much easier to organise something on private land (especially as it is only a social camping gathering not an event) than on public roads.

sounds good but no matter what date you set not everyone that wants to come will be able too , why not poll a date?
as carlton said the earlier the better , those that carn't make it well if it works out there will no doubt be a next time.
surely there wouldn't be any insurance problems the risks we under take are our own .
One last thought we should get all the cv's and axels broken at the end of the second day and line em up and send the pic to guniess records cause you Vic mud boys with ya big wheels and little axles are gunna get us into the record books forshore

We looked into the transport thing to go to XRCC and it was viable it was heaps cheaper to tow them up ourselfes.

Quick bit of info - i just had a chat to the uni student doing work experience with us and he was able to tell me that the Uni Holidays (for Monash Uni) for sep / oct are from 27-Sep to 1-Oct...
He also pointed out that he didn't think that Monash Holidays lined up with the holidays of Melbourne Uni, or RMIT... I sort of expect that it will therefore be pot-luck to line up everyone's holidays at the same time and pick the weekend that will suite everyone.
I reckon just pick on that suites you (since you are doing all the work here), and also suites the property owner - that's the best you can do
