J10 - 4WD Assc club jamboree 2010

4WD NSW & ACT Association June Long Weekend event at Orange

As some of you will have been aware, Downunder4x4 Club has been trying to get the Association Jamboree 2010 (J10) off the ground for several months, and have had issues with securing a venue, and then once the venue was almost nailed down, getting hit with unreasonable demands for insurance. This has led to a decision to abandon J10 – there is just not enough time left to organise the event.
However, all is not lost – we are determined to go ahead and have an event on the originally planned date (June Long Weekend 2010) – an association gathering is long overdue . The event will be held at the Orange Showground.
Last week representatives from DownUnder4x4 Club, Canobolas Club, the Association and Orange Council met at the site to discuss a way forward and start planning for the event.
We are planning an informal family oriented weekend at Orange. Camping is available at the showground (both powered & unpowered sites), cabin accommodation is also available in the caravan park adjacent to the showground. And then of course if your family isn’t into roughing it in the open in winter, there is also hotel/motel accommodation available in the town. On the subject of cold weather – yes it will be cold (winter is like that), however we will have access to the pavilions at the showground site, and the main pavilion, with a seating capacity of around 300 or so, will be heated, so if the weather turns real wintery, there will be somwhere cosy to get yourself and the kids out of it and thawed.
The showground also has a large arena, where we can organise fun style events. So the plan is to spend the weekend with a mixture of scaled-down Jamboree-style events at the venue, combined with trips into the surrounding area (eg a tag-along to Ophir, or through the forests around Mt Canobolas).
And this is where the member clubs can really help us out. We are keen to run this event, but will welcome assistance from clubs in helping us make a success of it. In the first instance, I would like to get an indication of which clubs will be participating, and a ball-park figure on number of potential participants. I would also like to get an indication of what aspects of the event you would be interested in assisting in the organisation & running.

Never lost, just misplaced.
Some good and bad news
To all our fellow Club Members we regret to advise that J10 has been cancelled. The reasons for this are many however in putting together the financials and seeking the support of Clubs we reached the conclusion that the level of support and possible attendance would be insufficient to make the event viable in 2010.
Accordingly we asked the Executive to defer the event till next year, at the same venue, in order to provide more time for promotion within the Club network.
We are conscious that our efforts since finding the current site have been of necessity focused more on the planning than the promotion and this has no doubt led a lot of members to believe that the event was not going to happen. To those who have made arrangements based on the event going ahead we sincerely apologise. Looking back we could have done better however don’t believe that we could have done more than we have over recent months – a matter of too much too late.
As a Club we have volunteered to continue with the organization of the event and the Canobolas Club who has provided significant assistance to us since Orange was first mooted as a site is happy to continue working with us.
We have secured the Orange Showground site for Easter 2011 (22nd April to 25th April) and the Orange Council is also happy to keep working with us. This is the traditional time of the year for our Jamboree and will allow for more extended travel for those Clubs who normally do not have the opportunity to meet with other Clubs, and will provide for a wider range of activities. The weather should be more kind as well.
As ANZAC day 2011 falls on Easter Monday there is also the potential for a 5 day weekend to be gazetted and as this time of the year is part of the school holidays the event will provide opportunities to be a stepping stone for those wishing to travel farther a field afterwards.
Whether it will be a gazetted public holiday or not( I’m guessing that it will be) we will be allowing the extra day at the location for club members and their families to enjoy the Jamboree as much as physically possible, without the stress of having to go home late at night..Monday, unless they feel the need to.
Our request for deferral was not made lightly however we believe it is in the best interests of the overall membership and the event. We know there will be disappointments however we ask that you work with us and the Canobolas Club to ensure that the 22 to 25 April 2011 becomes a memorable Jamboree.
We welcome all Club input and support. Please note your Club trip calendars now, this event is locked in.
